Keep school applications from becoming separate paper piles

One record of dates, documents and decisions can keep several applications understandable.

Give every school its own row

Keep a single overview with the school's name, application stage, next deadline and main contact. Add a link or location for the documents associated with it. The overview should show what needs action without requiring you to reopen every email.

Use stages that mean something specific: enquiry sent, documents requested, submitted, awaiting a decision or offer received. Do not mark an application complete simply because you filled in the first form. Check the school's confirmation and any outstanding requirements.

Store the evidence beside the task

Keep copies of submitted forms, attachments and receipts in a clearly named folder for that school. Use filenames that identify the child and document without exposing more personal detail than necessary. Keep originals safe and submit copies through the school's requested secure process.

Write down the date of a phone conversation and the staff member's name. If the conversation affects a deadline or requirement, ask for confirmation in writing. A short note made immediately is more dependable than trying to remember which school gave which answer several weeks later.

Make the next action visible

Every open application should have a next step, even if it is simply waiting until a stated date before following up. Assign that step to an adult. When two caregivers share the work, record completion in the same place so that neither sends duplicate forms or assumes the other has replied.

Add deadlines to the calendar with enough lead time to gather records or translations. Check time zones and office hours when the school is abroad. Use the institution's current instructions rather than borrowing deadlines from another family's application.

Close the loop on decisions

When an offer arrives, read the conditions and response deadline before changing the status. Distinguish an invitation to apply, a provisional offer and a confirmed place. Keep the relevant correspondence together with any terms you accept.

If you withdraw an application, follow the school's process and save confirmation. Remove obsolete reminders while retaining the records you need. The system should become quieter as decisions are made, rather than preserving every old task as if it were still urgent.
