Keep the household handover in one place

Gather the information needed to operate the home and contact the right person when something needs attention.

Ask for a handover, not only the keys

Entering a new home is easier when its ordinary systems have been explained. Arrange time with the owner, agent or responsible contact to go through access, included equipment, household services and the process for reporting a problem. If the handover is remote, request the relevant instructions in a form you can keep.

Clarify which services are already arranged and which the household must set up. Read the actual rental or occupancy terms and ask about unclear responsibilities. The presence of an appliance or connection does not by itself tell you who handles its account, maintenance or charges.

Record the contact routes for routine questions and urgent problems as supplied by the appropriate organisation. Keep them distinct. A general property email may not be the route intended for an urgent building issue.

Identify controls and records

Ask the responsible person to show how ordinary controls are used and where the relevant instructions are kept. Take notes or photographs with permission where helpful. Do not open equipment, interfere with installations or operate unfamiliar safety controls simply to test them; use qualified help and the applicable instructions.

Where readings or condition records form part of the agreed handover, record them in the requested way and keep the date. Store the record with the tenancy or household information so it can be retrieved later. Clarify any discrepancy promptly through the proper channel.

Check keys, access devices and entry arrangements while the person responsible is available. Establish what happens if a device stops working or someone is locked out. Avoid labelling keys with a full address that would identify the home if they were lost.

Include the unglamorous routines

Find out how rubbish, recycling, deliveries and shared spaces work. Ask about collection days, the correct locations and any building-specific arrangements. These questions affect daily life immediately even though they may not appear in a property description.

Locate appliance manuals or verified manufacturer instructions for the equipment in the home. A short note identifying the model and official support page can be useful when controls are in an unfamiliar language. Keep instructions connected to the actual model rather than saving advice for a similar-looking appliance.

Make the information shared

Store the handover details where the adults responsible for the home can both find them. A short index can point to documents, contacts and instructions without reproducing sensitive information in several places.

During the first week, add the answers to questions that recur. If both adults have to ask how a door release works, it belongs in the notes. Remove guesses once confirmed information is available.

The handover record can remain brief. Its job is to make the home usable and make responsibility clear, not to describe every object in the building.
